TourTech Systems (www.tourtools.com), the creator of TourTools®--a software solution which automates most aspects of a tour operator’s business--announced recently that its client Steve Furgal’s International Tennis Tours, Inc. (www.tours4tennis.com) completed its TourTools upgrade and is immediately realizing tangible benefits.
TourTech Systems CEO John Kamm says that clients see an immediate increase in staff productivity and efficiency when implementing TourTools. To illustrate, Kamm says that prior to International Tennis Tours utilizing the original software solution 10 years ago, it would take weeks to process 20,000 to 30,000 tournament tickets. “With TourTools, ticket allocation takes a day,” Kamm adds.
International Tennis Tours Vice President Anne O’Neill explains that accuracy, customization, speed, ease-of-use and accountability are benefits the organization realizes by using TourTech’s software solution. “TourTools allows us to keep track of our entire inventory, especially the tournament tickets, without error.”
Tennis enthusiasts can attend at least 10 tournaments annually with International Tennis Tours and are able to choose among a minimum of 25 different tour packages for each offering, O’Neill says. “Beyond the flexible package options available, about 85 percent of our clients further customize their tournament packages by deviating from published tour products. As a result of the TourTools upgrade, we can now provide this instant customization with a click of a mouse.”
For the U.S. Open alone, over 1,000 people attend and there are four levels of seating in one stadium and two levels of seating in another, O’Neill explains. “TourTools allows us to track where everyone is sitting and for which event. With the new version, we can even determine which customers are repeat customers, allowing us to even further customize their experience,” O’Neill says.
Kamm says that unique features of TourTools for International Tennis Tours include several custom reports and a streamlined process to address its room complexity issue. “Unlike many tour operators, ITT’s customers vary their tennis tournament tour packages by arriving on a different date or departing on a different date than what is offered as a published package. TourTools provides a custom rooming report detailing when each person is slated to arrive and depart, which events they have purchased tickets for, and which activities they have signed up for,” he says.
As a TourTools user for 10 years, O’Neill says “We loved TourTools 10 years ago and the upgraded software solution allows us to do even more. We have never had a mistake, every tour component is always accounted for and the solution is completely customized for our organization and our complexities.”
Kamm says International Tennis Tours upgraded to the TourTools V3 system because this version has integrated credit card processing, integrated email and it can be integrated with Quick Books. Other new features are the expanded and improved duplication routines for tours, packages and package components, he adds.
Two of O’Neill’s favorite features of the upgraded system include “speed and ease” in duplicating packages and processing payments online. “In terms of ROI, duplicating packages is the cat’s meow. It’s what sold me on the upgrade,” O’Neill says. “For our annual tours, I can duplicate all of the components almost instantly for the next year, saving me hundreds of hours.”
