Arin and her team helped U.S. Tours improve its communications and recordkeeping by creating a web interface to the TourTools database – WebDirect. This new interface enables our growing Sales Team to access the database – anywhere, anytime – with an internet connection. WebDirect provides a concise, easy to use interface which focuses on the portion of the Tour Tools database the Sales Team uses the most – client interface. They record client communications, visits, generate RFQs; and can research client history prior to meetings, phone calls, and trade shows. The dashboard also has a follow up date column to remind the Sales Team of important dates and action items. WebDirect can also be used to generate weekly sales reports and travel reports. This client communication recordkeeping is crucial to all members of our company – from sales to operations to accounting.

Integrating the Tour Tools web registration feature back in 2012 was the most significant technological enhancement our company has made. I wanted to take a moment and tell you and your team how pleased I am to have Tour Tools as the system supporting our tour operator business. Fontenelle Tours has now been using the software product for eleven years. Early on, as we were learning how to best use the functionality provided, it became obvious to us that it was extremely well designed. It easily covers all aspects of our operation. The client data is comprehensive, the vendor data complete, the “tour master”, with its link to the operations records, totally encompasses all aspects of the operations. The reports offered under each of the major functions provide just the information needed. The underling data base, File Maker, is extremely reliable, responsive and delivers reports almost instantaneously. The data export functionality is well designed and easily imported into such tools as MS Excel. We frequently use this functionality to extract our traveling customers emails addresses in order to send out individual tour invitations through MS Word’s email generation capabilities. The very few times we have requested slight customization was handled very quickly with 100% positive.

The TourTools Online reservation system has allowed us to have a 24/7 presence without the overhead. Now, we capture revenue right when the client has made the decision to book. Many times this takes place on the weekend. Previously, reservation booking had to wait until Monday morning at 9:00am. This provided plenty of time to change one’s mind. Now, on Monday those reservations are in the system and the revenue is in the bank.
